Cons from reviewers
-
Difficulty in entering timesheets: Despite the options provided for timesheet entry, it can be overwhelming for employees to find a specific project and task to log their time.
-
Limited Xero integration: Once an invoice is sent to Xero from ProWorkflow, it's impossible to make any changes. Users also can't categorize line items into Xero's revenue accounts directly from ProWorkflow
-
Inadequate for complex proposals and invoices: ProWorkflow may not be sufficient for users who need a more complex system for proposals and invoices, such as multi-page terms and conditions templates for quotes/proposals, and percentage invoicing or progress billing
-
Time-consuming task addition: Adding a quick task to a project while on a call with a client can be time-consuming, often leading users to take notes elsewhere and create tasks in ProWorkflow later
-
Slow in introducing new features: Compared to more progressive platforms, ProWorkflow has been slow in introducing new features, making it feel outdated

Value for Money with a Solid Platform: ProWorkflow
My experience with ProWorkFlow has been satisfactory, but not outstanding. It has given us job numbers for tracking, but hasn't significantly enhanced our processes. Despite this, it hasn't been problematic enough to justify a platform change, and my team heavily depends on it. After evaluating many platforms, we chose ProWorkFlow and have been using it for over five years. It provides basic functionalities and some customization. Its best feature is the search function for finding archived projects, and the support team is excellent. However, ProWorkFlow has been slow in introducing new features, making it feel outdated compared to more progressive platforms. The two main issues are the difficulty in entering timesheets and the inability to export client-friendly schedules with certain tasks hidden and formatted nicely. Despite the options provided for timesheet entry, it's overwhelming for employees to find a specific project and task to log their time. We often find ourselves recreating schedules in Excel for each project.

Makes Management Effortless
Proworkflow has been crucial to my business growth. It has simplified scheduling, making it predictable and adaptable, and allows me to alter my schedule with ease. The process from quotes to projects to invoicing is smooth. Proworkflow requires minimal effort to manage my business, an aspect I think is often underestimated. Setting up quotes and invoices only takes minutes, and I can add projects and tasks quickly. I can see the effect on resource scheduling even before I finish planning my tasks. This tool has been invaluable without causing any confusion. However, if you need a more complex system for proposals and invoices, Proworkflow might not be enough. It offers enough flexibility to customize a quote and send your invoices directly to Quickbooks/Xero from a quote or proposal. But if you need multi-page terms and conditions templates for quotes/proposals, and percentage invoicing or progress billing, be ready to do these manually.

If it's not ProWorkflow, I don't want it!
I have been using ProWorkflow for over 5 years and I wouldn't consider switching to anything else. I am extremely satisfied with not only the system itself but also the responsive and helpful support team. Despite having used ProWorkflow for a while, I am committed to constantly learning more about it to maximize its benefits for my company, Rev One. It has significantly improved our efficiency and I couldn't be more pleased with it.

Tailored Excellence with ProWorkflow
As a user of ProWorkflow (PWF) since 2011, I view it as the most crucial management tool in our company. Over the years, I've noticed a significant increase in new features. I particularly value the ability to add custom fields, which has proven to be incredibly beneficial. I'm also pleased with the quote and invoice module, and the integration with Xero is vital for us. I can't imagine running my company without PWF. However, there are a few areas that could be improved, such as direct email import to projects, a more advanced Fixed Cost Items list editor, and the addition of thumbnails for pictures. I chose ProWorkflow because I was impressed with the Project Page and the Custom Fields. I switched to ProWorkflow because I required a more professional cloud-based service.

ProWorkflow Software Review
The new invoicing system of ProWorkflow has made my work more time-consuming. The lack of training and warning about these changes is completely unacceptable. I use multiple bank accounts for different business sources, and previously, I could have different templates set up for each account. Now, I have to manually change the bank account settings every time I change the business source on my invoicing. The templates no longer auto-populate the Description field on the invoice with our standard scripting. There's also a new Xero-related function called Submitted on the invoicing page, which requires an additional process through Xero before the two systems can communicate. I'm almost out of patience with ProWorkflow. It seems like they tried to fix something that wasn't broken, and I question how much market research they did before implementing these changes. The system was perfectly suitable for our small business needs before, and they changed it just two days before the end of our financial year. I don't want a callback or YouTube training videos. Unless they're going back to the previous processes, I just want them to know that any future updates should be thoroughly researched and implemented at a time that causes the least disruption to businesses.
